CFA Institute will cover travel and hotel expenses for students, sponsored guests, and judges as detailed below:
Students and Sponsored Guests: Travelers are responsible for covering costs associated with visa and passport fees, luggage fees, food outside of the event, ground transportation, and any other incidental expenses.
Judges: CFA Institute will cover reasonable incidental expenses as described in the Volunteer Travel Policy.

All students, sponsored guests, and judges must book their travel to and from the event using CFA Institute’s travel management company. Reservations made through agencies other than that company will not be eligible for reimbursement.
If travelers decide to extend their stay, choose different layovers, etc. CFA Institute will only pay for the most direct (i.e. shortest offered) and economical route round trip option. Personal add-on travel costs will be the responsibility of the traveler.
Students: Students are expected to arrive in Sydney on 28 March by 15:00 and depart on 30 March. CFA Institute will cover the most direct (i.e. shortest offered) and economical round trip airfare that takes students from their departure city to Sydney and back. Personal add-on travel costs will be the responsibility of the student.
Sponsored Guests and Judges: Sponsored guests and judges are expected to arrive in Sydney on 28 March anytime and depart on 30 March. CFA Institute will cover the most direct (i.e. shortest offered) and economical round trip airfare that takes travelers from their departure city to Sydney and back. For routes in excess of 3,000 miles (one-way) it is the policy of CFA Institute to allow sponsored guests and judges to book a business class ticket. If you qualify for a business class ticket you may, in lieu of the business class ticket, book an economy class ticket for you and one guest. Personal add-on travel will be the responsibility of the sponsored guest or judge. The sponsored guest and judges could be assessed tax liabilities and it is recommended sponsored guests and judges discuss the option with their tax adviser.

CFA Institute will make hotel reservations on behalf of students, sponsored guests, and judges for two nights – checking in 28 March and checking out 30 March. Check-in and check-out times are determined by the hotel and CFA Institute is unable to guarantee changes to these times.
Other guests attending the event will need to make their own reservations. We do not have a special rate for additional guests. Attendees that wish to extend their hotel reservations or make special requests must do so directly with the hotel.
Students: Students will room with one other student. Roommates will be assigned by CFA Institute according to university affiliation and gender. Please note, students may be assigned to room with a student from another university.
Sponsored Guests and Judges: Sponsored Guests and Judges will have individual rooms.
Host Coordinators: All local hosts and society members are encouraged to attend the regional and global events. We will cover hotel costs for one person from each host to attend. All attendees must complete registration.
